Delegating: Are you doing it right?

If you’re in the corporate world, you’ve surely heard about delegating, but are you actually delegating? There’s a lot of talk about the term, but delegating goes far beyond that. To be a good leader and run a successful company, delegating is a fundamental part of any company’s growth process. So today, let’s talk about delegating, all its benefits and drawbacks when not done correctly, and let’s truly understand what this term means.

What is delegating?

Well, if you’ve come this far thinking that delegating is just about handing off tasks, you’re completely mistaken! So, what does delegate mean? Simply handing off tasks isn’t productive anymore to delegate, actually you need to think that you’re seeking a result and transferring responsibility for that result, and it’s only with clarity regarding execution and expectations that you’ll achieve the desired result.

How do I know if I’m delegating?

If you still have to review everything, constantly correct it, or redo the work, you need to stop and ask yourself if you’re really delegating or just asking someone to do something for you that you’ll end up having to redo anyway. Throughout our time at Instant Assistance, what we see most often is people hiring virtual assistants but constantly struggling to delegate tasks to them properly, which ends up overburdening them even more.

So, how do you delegate?

Method! Just like everything else in your company, delegating requires a method! It requires a clear method for the expected result, what needs to be delivered, how it should be delivered, and what the expected standard is, and that’s why we talk so much about systems here. Having a system that works in your company is a fundamental step toward delegating, whether through CRMs, SOPs, or any other method that works well for your situation, but if you don’t document it, you don’t have it.

Let’s say you already have a clear “system,” but does it really work? Do you still correct everything, every detail? Are you constantly supervising? Perhaps your system isn’t as clear as you think.

Some points to consider:

  • Checkpoints: You should set specific times to review specific tasks—not everything!
  • Different approaches: Is your way really the only way to do this task, or are you just unable to let go of doing it your way?
  • Avoid constant supervision: You need to trust them!
  • Autonomy: Continuing from the point above, give them autonomy! Show them how you want it done—if possible, offer some inspiration or even examples of how it was done previously and approved by you—but give them autonomy!
  • Constant feedback: Ask the person working with you to confirm if they need anything or if there’s any miscommunication between you, and then align your efforts for the best outcome for the company.
  • Trust: Returning to the topic of autonomy, the person you hired should also have expertise in the field, so just as you ask for feedback if something is missing, remember to trust their expertise and ask for their input on how certain tasks can be performed to further improve your workflow.

And what are the consequences of not delegating properly?

Failing to delegate properly can cause more problems than you might think, and some of them are even linked to burnout. So, in general, failing to delegate can lead to:

  • Constant bottlenecks
  • Slow execution
  • Rework
  • Lack of time to grow
  • Focus on low-value tasks
  • Limited scalability
  • Dependent team
  • Lack of autonomy
  • Low internal accountability

And as long as all of this continues, you’ll feel overwhelmed and like you’re doing everything but getting nowhere! On the other hand, you’ll reap countless benefits if you learn to delegate properly:

  • Faster execution
  • More consistent processes
  • Fewer errors
  • More time for important decisions
  • Real growth potential
  • Greater responsibility
  • Skill development
  • A stronger organizational structure

So, delegating isn’t about doing less; it’s about stopping yourself from being the only obstacle standing between your business and success.
